Job Description
The Accounts and Administration Assistant’s main responsibilities will be to provide administrative and financial support for the activity. She will be responsible for assisting the Accountant and Operations Assistant with daily administrative tasks, such as record keeping, procurement, HR matters, and financial matters related to the main project office.
Duties and Responsibilities
• Provide support for all aspects of project financial management, ensuring that all expenses are recorded appropriately, Chemonics home office, project office and USAID rules and regulations are followed, and that all project funds are used as appropriately as outline in the project.
• Perform all front desk duties.
• Assist the Accountant and Bookkeeper in reviewing and recording expenses, processing payroll, tracking invoices, providing necessary financial information as needed, and preparing financial and accounting documentation for regular reports.
• Assist Accountant with verifying vendor and local subcontractor invoices and ensuring all supporting documents are received and are accurate.
• Assist with cash disbursements of items paid in petty cash.
• Assist Accountant with processing travel advances to project staff and follow up on outstanding balance.
• Carry out monthly e-fuel reconciliation.
• Conduct review of travel related expenditures, accompanying expense reports to ensure necessary back up documentation is in order in file.
• Process wire transfer, replenishment of petty cash funds and assist with banking related activities.
• Perform any other duties delegated by the Accountant and Finance and Administration Lead.
• Perform procurement and administration duties as may be delegated by the Accountant and Finance Lead.
Qualifications and Experience
• Bachelor’s degree or higher in a relevant field.
• Knowledge of basic accounting and accounting practices is required, as well as general accounting best practices in Zimbabwe.
• Knowledge of USAID and procedures preferred but not required.
• Ability to work in a professional and cordial manner with fellow staff members, visitors, the public, and partner institutions including international and local NGOs, and governmental entities.
• Ability to effectively use computer software including financial management applications and Microsoft Office. Demonstrated high proficiency with Excel spreadsheet applications is required
• Fluency in English is required.
