Description
The Zimbabwe Council for Higher Education (ZIMCHE) was established by an Act of Parliament, [Chapter 25:27], in 2006, to promote and coordinate education provided by higher and tertiary institutions, superintend over standards, act as a regulator in the determination and maintenance of examinations, academic qualifications, and research.
OVERALL PURPOSE OF THE JOB
To support the Director Administration in respect of the management of the Council’s Company Secretarial function, and related duties. The function also provides administrative support to the Administration Director.
Responsibilities
The successful candidate will assist the Administration Director with the following;
- Coordination and preparation of Council, Committees, and Executive Management Committee (EMC) meetings.
- Production of flawless minutes for the Council, Committees, and EMC.
- Producing accurate minutes of meetings and ensuring sign-off and circulation.
- Maintain an up-to-date Council work programme(s) and coordinate with all main Committees.
- Organising and facilitating the induction and training of Council members.
- Assist in the preparation of the AGM
- Circulation of resolutions and amendments.
- Ensure effective electronic, filing and record keeping of all Council records.
- Creating and managing a minute database.

QUALIFICATIONS AND EXPERIENCE
- A graduate of the Corporate Governance Institute & Accountancy in Zimbabwe (CGIAZ) or (CGI).
- Minimum degree level: master’s degree level, plus the CGI qualification.
- Should have studied Corporate Secretaryship practitioner amongst others.
- Five ‘O’ Level passes
- At least 2-3 years experience in office systems and procedures, some of which will have involved providing administrative support at a senior level.
- Substantial experience in corporate secretaryship function.
- Substantial experience in information management including gathering, handling, communicating and storage of electronic and paper-based information
- Experience in managing diaries, travel schedules and work programmes under pressure.
KNOWLEDGE AND SKILLS
- An understanding of Governance and Corporate secretaryship matters
- The ability to manage and nurture external relationships
- Good understanding of the principles of customer care
- Proficient in the use of IT packages including word processing, e-mail, presentation packages, databases, electronic calendars
- Ability to prioritize and organize own and others’ work effectively to meet deadlines.
