Job Description

Our client is looking for an astute Procurement & Administration Assistant to assist in the administrative and purchasing activities of the company as well as ensure that purchased items are both cost-efficient and of high quality. The Procurement & Administration Assistant’s responsibilities include assisting procurement staff, maintaining positive supplier relations, evaluating supply options, seeking approval of purchases from management, and maintaining accurate records.

As a Procurement & Administration Assistant, your primary duties will evolve around monitoring current inventory, ordering supplies, and scheduling deliveries to ensure that the company has a sufficient amount of necessary materials or equipment. The qualifications a perfect candidate should possess include a degree in supply chain management or logistics and experience with sourcing and logistics software.

To be successful as a Procurement & Administration Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly.

Responsibilities:

Assisting other staff and all activities of the purchasing department.
Participating in preparing plans for the purchase of equipment, services, and supplies.
Following and enforcing the company’s procurement policies and procedures.
Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
Providing real-time scheduling support by booking appointments and preventing conflicts.
Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
Greet and assist visitors.
Reviewing, comparing and analyzing products and services to be purchased.
Managing inventories and maintaining accurate purchase and pricing records.
Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
Maintaining good supplier relations and negotiating contracts.
Researching and evaluating prospective suppliers.
Assisting in preparing budgets, cost analyses, and reports.

Procurement Officer Requirements:

Degree in procurement and supply chain management or a related field.
5 years of experience in a similar field.
Experience in using a Centralised procurement system.
