DUTIES

Effective administration of employee life cycle from take-on to termination
Effective administration of Recruitment and Employee Relations
Effective administration of employee records
Effective payroll administration
Effective self-management and team work

EFFECTIVE ADMINISTRATION OF RECRUITMENT, SELECTION AND EMPLOYEE RELATIONS

• Co-ordinate recruitment of new staff
• Secure pre-employment documents i.e. interview notes, reference checks
• Set up and co-ordinate exit interviews for employees leaving the company
• All new employees are inducted within the first month of joining the company
• Preparing contracts and all recruitment documents (for review by the HRO) including opening of employee individual files (manual and E-files)
• Receive unsolicited CVs and file them in appropriate files
• Inviting candidates for interviews and preparing the venue
• Terminate employees from payroll
• Assisting in labor relations issues

EFFECTIVE ADMINISTRATION OF EMPLOYEE RECORDS

• Keeping accurate records of contract expiry dates
• Monitoring contracts to ensure timeous renewal or termination and liaising with Operations and other departments on the same
• Maintain up-to-date employee individual file- both manual and E-Files
• Ensure all employees who proceed on leave have completed the relevant forms and a monthly updated and accurate leave report is produced
• Keep up to date and relevant notice boards as per NEC regulations (Freight and Security)
• Ensure that all relevant notices and updates are put on notice boards and circulated to boarder staff

EFFECTIVE PAYROLL ADMINISTRATION

• Create new master files for new employees and accurately capture data into the timebag system
• Update information into the payroll system about employee salaries, wages, deductions and details change etc
• Ensure employee changes are entered correctly into the system and made on timely basis
• Ensure employees are paid accurately and at the appropriate time
• Prepare and process monthly payroll
• Answer employee questions about payroll, leave balance and other compensation issues
• Generate monthly payroll costing and leave provision reports for record keeping and management review
• Resolve payroll discrepancies
• Honor confidentiality of employees’ payroll records
• Keep abreast with company policies and tax legislation that impact on remuneration
• Report payroll system errors or malfunctions e.g non deduction of P.A.Y.E, NSSA e.t.c

EFFECTIVE SELF-MANAGEMENT AND TEAMWORK

• Maintain a professional image in all aspects of personal and work presentation
• Deadline met; relevant parties informed of deadlines not met-able to provide appropriate resolution
• Actively and consistently maintain high standards of professionalism in all aspects of personal presentation and delivery

And, any other duties assigned by the Human Resources Officer

REQUIREMENTS

  • DEGREE IN Human Resources Management OR Social Sciences /Diploma/HND Human Resources Management OR IPMZ Diploma
  • 2 years experience
