Under the guidance and supervision of the Procurement and Logistics Officer, the incumbent will be responsible for warehouse management, asset management, organizing procurement activities. The incumbent will be responsible for obtaining quotations, facilitate purchases, delivery of office supplies, materials and equipment. S/he will also provide project logistics and administrative support to the mission.
DUTIES
The Administration Assistant will be responsible for the following duties: –
- Prepares request for quotations and sends to vendors, sources for quotations in line with the procurement policy and donor regulations and guidelines.
- Evaluates bids and prepare comparative analysis and submits for authorization before raising purchase orders.
- Assist in maintaining electronic record of every completed procurement to ensure that procurement processes, and service agreements are accurately documented.
- Raises payment requests and ensures the processing of payments follows smooth documentation flow.
- Tracking all purchase orders issued to vendors, ensuring orders are delivered on time and in full, in required quality.
- Following up on tax invoices from suppliers to ensure that GRVs are generated.
- Reviews the documents and goods received for completeness and accuracy before preparing GRVs for approvals,
- Assist in the management of inventories of stationery, office supplies, consumables, and other equipment.
- Assist with distribution of procured goods and supplies to all CeSHHAR sites,
- Carry out periodic stock takes and assets counts and ensure that assets are properly marked and tagged in compliance with CeSHHAR policies.
- Maintain the insurance records and assist to follow up on claims and submit claims,
- Properly and accurately recording asset transfers and ensure that all asset movements and relocations have been recorded and updated in the asset register.
- Raises requests for monthly utilities, quarterly rentals and other services and submit for payment processing.
- Assist with processing of fuel liquidations and filing of fuel log sheets and other procurement documents.
REQUIREMENTS
- University degree in Purchasing and Supply Chain Management or a related field from an accredited academic institution
- 3 years relevant professional experience. Experience in an NGO organization will be a distinct advantage
- Membership with any relevant professional body such as CIPS is essential.
- Demonstrable knowledge and proficiency in Microsoft computer packages such as Excel.
- Possession of good interpersonal skills such as communications and writing skills.
- Must be good in planning and problem – solving.
