JOB PURPOSE

Coordinates Midlands State University (MSU) property management operations by ensuring maximum space utilization, conducting physical inspections and verification, facilitating repairs and maintenance of properties; analyses statistical database and generates monthly/ quarterly performance reports.

QUALIFICATIONS AND EXPERIENCE

  • University degree in Hospitality, Management, Social Sciences or equivalent
  • At least 2 years relevant working experience
  • Basic knowledge of Accounting principles
  • Advanced skills in MS Office (Word, Excel, PowerPoint and Outlook) are a must.

COMPETENCIES

  • Ms. Office, PowerPoint and Excel spread sheets.
  • Be a good communicator, sound judgement and analytical skills
  • Be able to work under pressure and to meet tight deadlines.

DUTIES AND RESPONSIBILITIES

  • Participates in the compilation and drafting of Standard Operating Procedures (SOP) and Process Flow Charts, including Terms of Reference and Job Descriptions for staff in the Property Management unit.
  • Maintains accurate and auditable property records, in both hard and electronic format.
  • Participates in the development of annual plans for the MSU property portfolio (property use and/or requirements, revenue projections and cost effectiveness studies).
  • Analyses short and long-term lease proposals; negotiates and administers lease agreements, including renewals.
  • Communicates terms, conditions of tenancy, and ensures that they are adhered to.
  • Conducts surveys on market rates, develops rental rate structures and implements upon approval by the Space and Office Allocation Committee.
  • Stewards the MSU brand and customer experience by regularly associating with tenants to ensure their satisfaction with amenities, building operations, leasing and day to day management issues.
  • Conducts room inventory checks and safety checks on a regular basis to ensure buildings meet health and safety requirements.
  • Ensures that service providers of water, electricity, and internet are paid on time to avoid service interruptions.
  • Performs regular inspection of building super-structures; liaises with Maintenance Section for scheduled preventive maintenance, renovations, repairs, and installation of equipment.
  • Plans and coordinates essential services such as check-ins and checkouts of residents, housekeeping, grounds maintenance and curb appeal, waste management and security of premises.
  • Maintains the fixed asset register by accurately tracking procurement, usage, depreciation, disposal and replacement of equipment and utensils.
  • Liaises with the Bursar’s and Procurement Departments on matters of procurement and stock management.
  • Prepares accurate and auditable statistical records as well as periodic management reports.
  • Performs related work as required.
