This role supports the Executive management in the provision of a comprehensive Secretarial and administrative functions which are detailed in the job description below. We are looking for an experienced and mature individual in this role who is able to deliver their duties with due care and confidentiality.

Job Description

Your day-to-day duties will include:

  • Timely and accurate typing for managers
  • Up-to-date filing and effective system of filing that ensure information is accessible in secretary’s absence
  • Telephone answering and receptionist responsibilities
  • General office administration
  • Inter-department/unit communication responsibilities
  • Reliable transfer of messages
  • Awareness of computer system developments and applications or training that could assist in this role
  • Discretion and confidentiality
  • Assist during emergencies
  • Provision of effective secretarial service / meeting support at various internal and external meetings.
  • Arranging venues, notifications, agendas and preparation of minutes.
  • Follow up on items to be actioned by internal meeting attendees.

Qualifications

  • Diploma /Certificate/Degree in Secretarial Studies or Equivalent
  • Passed Secretarial specific training module for operation of the relevant computer systems and communication systems
  • Professional experience with significant written communication and computer skills
  • High standard of interpersonal and communication skills especially in the context of stakeholder care
  • Over 5 years experience in a secretarial and administration role at executive management level
  • Experience in mining, extractive, capita; intensive industries on internationally recognised companies will be an added advantage.
