Job Description

Main Responsibilities:

To ensuring that all logistics activities are done in compliance with the set standards and procedures.

Assets Management.

Support the allocation and the use of the equipment in accordance with Admin procedures, program needs.
Monitor the maintenance and repairing of the equipment in accordance with Admin procedures.
Update the equipment list and the general asset register and feed into the assert/equipment disposal plan
Work with assert holders and ensure continuous updating of asserts and inventory list, assert tagging and safeguarding to satisfy organization and Donor requirements.
Manage the approved asset movement, monitor, and track and update the records accordingly.
Follow-up and oversee that the assets inventory for all offices are accurate and up to date.
Maintain and update the assets list monthly and organize quarterly assets counts.
Ensure that all electronic assets are properly insured and liaise with the insurance company in case of any claims.

Fleet Management.

Manage the routine care and maintenance of the vehicle fleet and keeping records of vehicle documents.
Provide weekly reports on vehicle maintenance.
Verify the completed vehicle logbooks and reconcile with the satellite tracking system and the work plans
Scrutinize and make necessary recommendations on each logbook of the vehicles, and update fleet register/files of all vehicles – such as recording mileage, fuel receipts, servicing, insurance, registration, repairs, accidents, other incidents.
Ensure that the daily driver’s schedule for Harare is available and updated.
Ensure that all vehicles are properly insured, and liaise with the insurance company in case of any claims
Ensuring that all vehicles are handled according to the Fleet Management manual – mileage recording and observation of parking time limits as well as vehicle cleaning.
Compiling and sending fleet report monthly
Facilitating refueling and repair of vehicles and generators as and when need arises.
Monitor the cost expenditure for the fleet and equipment in liaison with the finance department.
Collect necessary information through transport request to assess the transportation need

Other Duties.

Give logistical support to the Harare and field staff in their monthly/ quarterly plans including Field Visits.
Liaise with the security company on office security and the alarm.
Advice the Management on all issues related to logistics and fleet management and ensure transparency and accountability in all activities.
Develop a system of tracking logistics requests and generate weekly status reports.
Improve, implement, and monitor the Logistics Manuals and the Security Manual.
Monitor and supervise the drivers and ensure that employee duties are carried out effectively and efficiently.
Provide timely technical advice, guidance to and support to the field staff on all and logistical issues.
Prepare accurate and timely reports and to carry out any other relevant duty as requested by the Administration Manage

Requirements

Functional skills and knowledge
Good technical knowledge of vehicle management tools, systems, and methods
A good understanding of IT systems and procedures
Excellent planning and organization skills
Ability to work independently and as a team player.
Good communicator Sound interpersonal skills with the ability to establish and maintain relationships with various levels of operation.
Well organized and able to prioritize work and understanding his/her work outputs.

Qualifications, Skills, and Experience

Bachelor’s degree in Purchasing & Supply, Logistics and Transport Management or full CIPS, CILT in Procurement and supply.
At least 2 years’ experience in a similar position managing inventories, assets, and fleet.
Experience with USAID funded programs
